VATO HOA MEETING 10/25/05 CALL TO ORDER 7:02 PM JIM RESIDENTS INTRODUCTIONS AND REQUEST SIGN IN OFFICER INTRODUCTIONS AGENDAS DISTRIBUTED JIM REVIEWED THE AGENDA RUTHIE REQUESTED THAT THE DIRECTION OF THE SOC COMMITTEE BE ADDED TO THE AGENDA MOTION TO APPROVE MEETING OF LAST MEETING WAS APPROVED LANDSCAPING PROPOSALS- JIM ADVISES TO SEPARATE ONGOING NORMAL LAWN MAINTANENCE FROM SPECIFIC REMEDIAL WORK, TREES, SOD BUSHES MIKE STATES A WALK-THRU OF ONE MONTHAGO WAS CONDUCTED TO ASSESS AREAS FOR REMEDIAL WORK. 8 PROPS HAVE COME IN, SOME APPROVED SOME PENDING. MAIN CIRCLE WAS DISCUSSED, MEMBERS WERE ADVISED OF CITY'S AGREEMENT WITHOUR DESIRE TO MAINTAIN THE MAIN CIRCLE. APPROVED NOT DONE TREE REMOVAL AND REPLACEMENT CORNER OF 1030 GRAND OAK HAWTHORNE TREE REPLACEMENT COMMON AREA GRASSES, REMOVE AND REINSTALL DRAINAGE WORK AND GROUNDWATER INSTALL AT SIDE IF 1324 WILD OAK DONE BEHIND UNITS REGAL OAK DR SWAYLE MAINTANENCE TO ELIMINATE EROSION HOLD DRAINAGE WORK AT REAR OF UNIT 1171 ROD INSTALL SPICATA'LIRIOPE ON SLOPE TO ALLEVIATE EROSION TURF RENOVATION THROUGHOUT PROPERTY WHEN IT COMES TIME TO RENEGOTIATE THE NEW CONTRACT WITH BRICKMAN WE WILL SEEK COMPETING BIDS. 1130 SLOPE BED- A REQUOTE WILL BE SOUGHT. TURF RENOVATION PROPOSAL REVIEWED BY M HOLZMAN JIM RECOMMENDS WE APPROVE. NO DISSENT. NO FURTHER NEGOTIATIONS 1134 EXCAVATION AT REAR OF UNIT - HOLD $1852 BOARD GRANTS AUTHORITY TO JIM AND ALLEN TO FOLLOW-UP WITH BRICKMAN. FOLLOW-UP WITH HOMEOWNER RE THEIR OWN PROPOSALS AND TO GET THE WORK DONE. COMMON AREA BEHIND ROW BEGINNING WITH 1150 ROD - CONDENSATE LINES AND DOWNSPOUTS CREATING SLICK SPOTS AND HAZARDOUS TERRAIN BEHIND UNITS - $1784 PROPOSAL TO TIE ALL LINES TO A COMMON LINE AND SEND OVER WALL - WILL SEEK PERMISSION FROM TOWER COMPANY. MOTION MADE TO CORRECT PROBLEM WITH OWNERS COST ZERO. MOTION CARRIES.6-0-1 ABSTAIN WEBSITE - STEVE'S HARD WORK IS ACKNOWLEDGED BY THE BOARD. STEVE ENCOURAGES EVERYONE TO USE THE SITE AND REGISTER FOR THE COMMUNITY BULLETIN BOARD. KEEP THE INFO FRESH. A POSTCARD WILL BE SENT TO ADVISE RESIDENTS OF THE WEBSITE. BUDGET- MICHAEL REVIEWED THE CHANGES TO THE BUDGET ON THE FIST PAGE THEN MOVED DOWN THE LINE ITEMS. A $4 MONTHLY INCREASE PER UNIT IS PROPOSED. NO INCREASE LAST YEAR. INCREASED COSTS FOR ENERGY ARE ANTICIPATED. LANDSCAPING COSTS WILL OUTPACE INFLATION. MOTION TO APPROVE BUDGET AS PROPOSED IS APPROVED. TRASH AND RECYCLING REMOVAL NOISE - CONTRACTORS WILL BE ASKED FOR A LATER PICKUP TIME. GRAFFITTI - CITY SHOULD CONSIDER ACTIONS LIKE; POST NO TRESSPASSING SIGNS. FENCE THE AREA, AND LIGHT THE AREA TO DISCOURAGE FURTHER ACTIVITY. CITY WILL BE CONTACTED FOR THEIR HELP SOCIAL COMMITTEE - RUTHIE WANTS SOMETHING ON THE WEBSITE. RESIDENTS WILL BE ENCOURAGED TO CONTRIBUTE THEIR EVENTS TO THE WEBSITE. MICHAEL WAS ASKED TO NOTIFY THE HOA OF NEW RESIDENTS. HE EXPLAINED THAT THERE IS A SIX TO EIGHT WEEK LAG BETWEEN THE TIME A UNIT IS SOLD AND THE INFO BEING PROPERLY TRANSMITTED TO THE HOA. RUTHIE WILL FOLLOWUP WITH THE NEW RESIDENTS FOR WELCOME. MICHAEL WILL SEND A PUL TO RUTHIE. PARKING AND SIGNS - WHO MAINTAINS THE PARKING SIGNS? MIKE WILL CHECK. STATIONARY AND LOGO - MILTON AND STEVE WILL COMPLETE THE TASK MAIN CIRCLE - WE WILL NOT PLANT TREES AT THIS TIME, BUT WILL GO WITH FLOWERS CONSISTANT WITH OTHER CIRCLES IN THE COMMUNITY. MOTION PASSES. CONSTRUCTION NORTH OF TOWER BLDG WILL IMPACT THE CIRCLE AND POSSIBLE RECONFIGURATION WILL BE CONSIDERED THEN.
